The number of named users, capacity, and implementation are defined in the proposal after a consultation.
Large one-time imports and cleanup of unstructured document archives are scoped separately.
External AI, OCR, or storage services are not included unless explicitly listed in the proposal.

How is Mini Maestro different from a general AI chat tool?
Mini Maestro is focused on your company’s approved documents, data isolation, and answers with sources. A general AI chat does not automatically have your governed knowledge base or the same access rules.
Which file formats can it process?
The core scope covers PDF, Word, Excel, and TXT. Scanned documents, images, complex spreadsheets, and other formats are reviewed during technical assessment.
Can it work with differently formatted Excel files?
Yes, but Excel requires processing that understands worksheets, headers, ranges, formulas, and business context. Unstructured or unusual spreadsheets may need structural confirmation before indexing.
Can AI create a new Word, Excel, PDF, or TXT document?
It can prepare the content and structure of a new document from approved sources. Available export formats and template rules depend on the selected plan and configuration.
What happens when the answer is not in the documents?
The assistant should clearly state that there is not enough information or ask for clarification. It should not present general knowledge or an assumption as if it came from your files.
Is each client’s data separated?
Yes. Every client has a separate knowledge base, users, and access rules. Hosting, retention, backup, and processing conditions are defined in the contract and technical specification.
How long does implementation take?
Timing depends on document volume, formats, organisation, user count, and required policies. After reviewing a representative sample, you receive a concrete scope, timeline, and onboarding plan.
